THE ROLE OF ADVANCEMENT OFFICER - FUND COMPLIANCE WILL:
INTRODUCTION:
UCD Foundation engages in fundraising activities to support University
College Dublin in its pursuit of world-class education, teaching,
research, and innovation. This position is vital in supporting the
work of the Advancement Services Team and to contribute to its ongoing
success.
ROLE:
Reporting directly to the Head of Advancement Services, the
Advancement Officer will act as a principal connection between the
processes of advancement services and the administration of donated
funds, grants, scholarships, and endowment. The position will
coordinate and assist with the overall governance of donation
administration and the related financial and stewardship activities of
UCD Foundation and to ensure funds are accurately and appropriately
utilised in a timely manner within the wishes of the donor?s or the
fund?s designations.
The position will partner with UCD faculty, researchers and staff,
fundraisers, UCD Finance and UCD Foundation Finance to ensure donor
intent is accurately captured, executed, and monitored for compliance.
Tasks, not limited to the following, but will include:
* Serve as the point of contact for all grant/donation information
for applications (pre and post) for UCD academic and administrative
partners in the distribution of UCD Foundation funds
* Verify donor agreements are still on schedule
* When funds are received by UCD Foundation, ensure the UCD Grant
Application process is actioned within agreed timeframes
* Liaise with grant recipients regarding how grants are disbursed
and obtaining supporting documentation for all grants
* Ensure the timely return of Grant Application Forms and the
appropriate backup is submitted to Finance
* Liaise with UCD to notify relevant Schools/Units that funds have
been transferred
* Work closely with Finance to interrogate expenditure and to
provide updates for inclusion in financial summaries for donor reports
* Liaise with UCD Foundation Finance, Finance Managers and Programme
Directors across the University to ensure compliance with UCD
Foundation grant award conditions
* Select areas for audit of expenditure of funds to ensure
compliance as per initial agreement
* Ensure accountability for expenditures of donated funds
* Maintain records on RE database
* Serve as the point of contact for all financial fund summaries and
ensure they are ready for inclusion in scheduled donor reports for the
Campaigns, Stewardship and Annual Giving teams
* Monitor progress throughout the distribution cycle and work with
the Stewardship team to report on a regular basis to the parties
involved including donor families, fundraising personnel for
stewardship activities, for auditing purposes, and recipient areas for
authorised distribution and expensing.
* Ensure financial funds summaries are approved by UCD Foundation
Finance
* Prepare financial fund summaries to be included in donor reports
in a timely manner.
* Maintain database and internal records to track grant activities
including scholarship recipient lists and records
* Assist the stewardship team with ad-hoc reports and presentations
* Determine when and how to redirect funds when donor stipulations
are no longer viable
* Liaise with funders and donors regarding any changes to the spend
down of their donation
* Liaise with Gift Processing, Finance and Stewardship regarding the
set up and use of funds in support of UCD
* In coordination with Finance team, implement on-line system for
automating, recording, and approving grant applications
* Any other duties as they arise
QUALIFICATIONS:
Suitable candidates will possess the following experience and
professional characteristics:
* At least 2 years of working in Major Gift/Campaign Fundraising;
Alumni Engagement; Prospect Development; or Business Analysis or
related finance administrative experience
* Strong IT skills including experience and a high level of
proficiency with Excel
* Ability to work through complex expenditure reports and
interrogate data
* Previous experience of Raisers Edge or similar databases desirable
* Qualified to degree level preferably one with business or
accounting modules
* Have a strong financial acumen
* Project management experience
* Exceptional verbal and written communication skills
* High degree of accuracy and attention to detail are essential
* Highly developed organisational, planning, and multi-tasking
skills and prioritisation to meet deadlines
* Excellent interpersonal skills, together with the ability to work
collaboratively
* Must be a self-starter and able to work with minimal supervision
* Prior experience in higher education is preferred
* An understanding of philanthropy and the donor cycle is desirable
TITLE: Advancement Officer; Fund Compliance
REPORTS TO: Head, Advancement Services
